Women In Transition (WIT) currently seeks a full-time Operations Coordinator responsible for coordinating the administrative operations of the organization and providing direct support to WIT’s Executive Director, Board of Directors, and Finance Team.
This position is full-time at 35 hours per week and is eligible for group benefits and paid-time off. The Operations Coordinator reports to the Executive Director. The person in this position will work remotely 4 days per week and in-person at WIT’s Center City Philadelphia office 1 day per week, therefore, the candidate must reside in the Greater Philadelphia area.

Duties & Responsibilities
Executive Director & Board Support
Provide support to the Executive Director on projects and administrative tasks
Schedule meetings
Assist with board meeting preparation
Respond to emails and other correspondence
Maintain records and files of current and past projects and operations
Finance Team Support
Provide bookkeeping and administrative support to WIT’s finance team
Prepare vendor invoices and staff reimbursements for payment
Prepare and make deposits
Assist with preparation of contract invoicing
Organize timesheets and enter into QuickBooks
Maintain digital and paper accounting filing systems
Operations
Oversee all agency equipment (e.g. copier, telephones, computers) in conjunction with outside vendors and IT support
Help with basic IT troubleshooting and disposal of old office equipment
Create and update organizational operations manual
Development
Assist with donor database management; print and mail donor thank you notes
Reconcile electronic and employee giving donations
Assist with donor appeals and in-kind donations

Basic bookkeeping skills

Ability to work independently as well as to work collaborative with teams

Qualifications
Associates or Bachelor’s degree or equivalent education and experience
One-two years’ experience in an administrative, finance or operations support role
Proficiency and experience working with QuickBooks or similar accounting software preferred
Ability to learn new software and systems quickly
High proficiency in Microsoft Excel required
Commitment to WIT’s mission of supporting individuals experiencing DV and substance abuse
Upon hiring, within 30 days must provide FBI, Act 33 criminal background check and child abuse clearance.
